With the popularization of the Internet, users are increasingly interested in participating in various online activities through the Internet, and various websites and forums are paying more and more attention to the organization and construction of offline activities, especially local websites. In the past two years, the author has organized more than fifty offline gatherings of various sizes. I would like to share some of my experiences with you as follows:
1. Before the event
1. Determine the division of labor among personnel
Now is an era that values teamwork, and individual heroism can no longer be tolerated. Therefore, no matter how big or small the activity is, it is recommended that everyone find like-minded people to do it together. For small gatherings, as long as you have certain organizational skills, you can simply discuss the format of the event and other issues. For large-scale events, the division should be more detailed, such as hosting, copywriting, on-site greeters and other personnel, all should be determined in advance.
2. Determine the time, form and scale of the event
Common forms of activities include dinner parties, karaoke, killing and other table games, mountain climbing, garden tours, outings, sports, blind dates, etc. This mainly depends on the preferences and familiarity of the target group of the activity. For example, if it is the first time for newcomers to participate in an event, they can focus on activities with more communication opportunities such as dinner parties or killings. If they are all familiar old friends, they can consider more entertaining activities such as karaoke.
In addition to the form of the activity, the size of the number of people must also be determined. The author suggests that the cycle of large-scale events with many people should be longer, and the cycle of small gatherings with few people should be shorter. If it is a large-scale event, interactive games and other aspects of the day must be designed in advance.
It is recommended that the activity time be on weekends, taking into full consideration the work and rest habits and patterns of the participants.
3. Determine the location of the event
The location of the activity should be convenient for transportation and low in cost. Try to check the venue in advance. Under normal circumstances, the lighting at the venue should not be too dark or too cold to give people a feeling of openness. The size of the venue should be just enough to accommodate the number of participants. Since the specific number of participants cannot be precisely limited, a certain amount of empty space can be reserved, but it should not exceed the expected number of people. It doesn't matter if it is a little smaller, otherwise the venue will look very crowded. Lively and fiery. Otherwise it will appear too deserted.
4. Write event notices
Many friends have ignored this, but it is actually very important. Whether the event will receive response from everyone and whether the registration situation is optimistic or not depends largely on whether the notice is well written. Usually the notice should consist of the following elements: event introduction, event initiator, event time, target audience, event location, event fee, event process, registration/contact information, detailed address and detailed bus route (preferably with a map) . Generally speaking, as long as these elements are written clearly, it will be OK. The language organization should be light-hearted and pleasant, and no targeted or offensive words should be included. For example, words such as "only high-quality people can participate" will be extremely offensive.
5. Promotion of activities
In addition to increasing member cohesion and activating the website atmosphere, offline activities are also a good publicity point in themselves. Therefore, the promotion of the event itself must not be ignored. Moreover, through centralized publicity, a large number of people can sign up in a short period of time, which will also make people feel that the event is extremely popular and make the event form a brand effect.
6. Organize the address book of applicants
Before the event, you must try your best to collect all the information of all applicants. At least mobile phone numbers and QQ numbers should be collected, and the number of friends who sign up on behalf of others should also be clearly stated. If conditions permit, it is recommended to establish relevant QQ groups.
7. Send pre-meeting notice
Be sure to send a reminder notification via text message before the event, and it is recommended to do so in the evening of the day before the event. The content of the text message should include the theme of the event and the specific location, driving route, and contact person.

2. In activity
1. On-site photo collection
Regardless of whether the event is large or small, as long as conditions permit, it is recommended that everyone take more on-site photos. Try to take pictures of everyone at the scene, especially some funny and hot scenes, and focus on recording them.
2. On-site atmosphere adjustment
The most important thing for the success of an event is the atmosphere at the venue. Whether the atmosphere can be adjusted depends on whether everyone can integrate into it. When determining the personnel in the first step before the event, everyone should identify in advance some people who are friendly and good at activating the atmosphere to participate. In addition, as an organizer, you should also mobilize everyone's enthusiasm in a targeted manner. Here are a few key points.
a. Arrive early and communicate with every friend. As an event organizer, you must arrive at the venue in advance. When members arrive one after another, try to have a short communication with each friend, firstly to eliminate the sense of strangeness, and secondly to roughly judge each person's personality characteristics, whether they are mainly introverts or extroverts, and whether they are very active people.
b. Mutual introduction should be indispensable. For small events, this is a must (except for all acquaintances). In addition to allowing everyone to get to know each other, this link can also determine which friends are extroverts and which friends are introverts.
c. Provoke topics and encourage communication. As an organizer, you should stir up topics and enliven the atmosphere at any time. Generally, among the people who participate in activities, there will be a few particularly active people. For such friends, try to mobilize their enthusiasm. When the atmosphere builds up, as an organizer, you should communicate more with those who are more introverted and shy to eliminate their sense of strangeness.
3. Emergency handling
Judging from the author's current experience in organizing events, I have not encountered any special emergencies. It may be mainly about adjusting the atmosphere on the scene, because sometimes people may become unhappy with their words when they are having fun. At this time, as an organizer You need to stand up and be the peacemaker, change the topic in time, and ease the atmosphere. This is especially true for dinner parties, because usually drinking is required during dinner parties, and it is easy to make a mistake after drinking. Here, I would like to remind everyone that for activities such as dinner parties, you must not persuade or fight for wine. Drink as much as you can, and don't drink what you can't. If you find that someone has drunk too much, you must dissuade them in time.
In addition, you need to pay attention to safety issues. Please read more relevant articles about this.
3. After the event
The aftermath of the event is relatively simple. The main thing is to post on-site photos online in a timely manner, and write a few event site notes if possible (mainly to guide members in writing). If it is a large-scale event, the address book of the participants will be organized in a timely manner. When dealing with the aftermath, everyone only needs to remember one principle, which is to guide the harmonious atmosphere of the event to the website (or forum, QQ group), and guide everyone to continue to maintain this popularity on relevant platforms.
4. Pay attention to details
In fact, when everyone talks about holding activities, they think it is relatively simple, because most people understand what is going on, but why do some parties do well and some do not? In fact, in addition to the formulation of the process, there are also details.
For example, when posting an event notice on a forum, in addition to indicating the details of the event, you should also draw up a registration format and let people behind you register according to the format. This will avoid the phenomenon of flooding, otherwise when others come and take a look, they will all be filled with fake information. Those who are filling in and not signing up will dampen the enthusiasm of users. At the same time, for the sake of double insurance, it is best to ask familiar people to sign up according to the format and make a sample of the first few replies to the post.
Another example is that when more people sign up, the information will be updated in the post in time to let everyone know the latest developments. Such as the number of people who have registered, the ratio of men to women, and even the specific list, contact information, units, etc. In this way, everyone can know who is participating, and seeing that there are many people participating and it is very popular, people who don’t want to participate will also participate.
Regarding the details, I can't talk about them one by one, so here I can only serve as a starting point, hoping to give you some inspiration.
